Government Affairs Administrative Coordinator

Position Description
KACo’s Government Affairs Administrative Coordinator provides essential administrative, organizational and compliance support to advance the Association’s efforts on behalf of Kentucky’s county governments. This position supports departmental communications, schedules and events while ensuring the efficient and compliant operation of the Government Affairs Department.
The successful candidate will be highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced legislative and policy environment with frequent interaction with legislators, county officials and internal teams.
Duties/Responsibilities:
Administrative and Departmental Support
- Provide comprehensive administrative support to the Director of Government Affairs and departmental staff
- Manage calendars, schedules, travel arrangements, and meeting logistics
- Coordinate internal and external meetings, including preparation of agendas, materials, and follow-up documentation
- Prepare, format, and maintain departmental correspondence, reports, records, and advocacy materials
- Perform general office and administrative duties to ensure accurate recordkeeping and efficient department operations
Advocacy Meetings and Legislative Event Coordination
- Schedule and coordinate advocacy-related meetings with legislators, county officials, and external stakeholders
- Assist with logistics for legislative hearings, committee meetings, and advocacy briefings
- Assist with General Assembly committee meeting reports
- Support planning and execution of legislative events, including receptions, luncheons, and stakeholder meetings
Legislative Tracking, Compliance, and Reporting
- Monitor legislative calendars and track bills affecting Kentucky counties using advocacy and legislative tracking systems
- Maintain accurate records of advocacy activities and legislative contacts
- Assist with preparation, documentation, and submission of all required legislative and lobbying reports in compliance with Kentucky lobbying and ethics laws
- Ensure all mandatory reporting deadlines are met and records are properly maintained
- Support internal compliance efforts related to advocacy activities and legislative engagement
Advocacy Communications and Member Updates
- Assist with drafting and distributing advocacy-related communications
- Assist the communications team with the dissemination of legislative updates to KACo members and stakeholders
- Support internal communications to ensure Government Affairs and other key KACo staff are informed of legislative developments and priorities
Conferences, Events, and Programs
- Support planning and logistics for KACo conferences, workshops, listening tours, legislator recognition programs, and other advocacy-related events
- Coordinate with vendors, speakers, and participants as needed
- Assist with registration, materials preparation, and on-site or virtual event support
Stakeholder and External Relations Support
- Serve as a point of contact for internal and external inquiries related to Government Affairs activities
- Maintain and update contact lists for legislators, legislative assistants, county officials, and key advocacy partners
- Support ongoing communication and coordination with policymakers and stakeholders
Minimum Qualifications
- Two or more years of administrative or office support experience, preferably in a governmental, nonprofit, or advocacy environment
- Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent written and verbal communication skills
Preferred Qualifications
- Experience working in government affairs, legislative offices, advocacy organizations, or public sector associations
- Familiarity with legislative processes, advocacy tracking systems, or lobbying compliance requirements
- Experience coordinating meetings, events, or conferences
- Knowledge of Kentucky state government and county government operations
Knowledge, Skills, and Abilities
- Knowledge of administrative procedures and office management practices
- Ability to maintain confidentiality and handle sensitive information appropriately
- Strong attention to detail and accuracy, particularly related to compliance and reporting
- Ability to work independently and collaboratively in a team environment
- Ability to communicate professionally with legislators, county officials, members, and external stakeholders
- Ability to adapt to changing priorities during legislative sessions and peak activity periods
